Timeless Travels with Sandy, LLC
(Independent Travel Advisor | Affiliate of New Horizons Travel)

1. Introduction


Welcome to Timeless Travels with Sandy, LLC. By booking travel services through Timeless Travels with Sandy, LLC, you, as the client, agree to be bound by these Terms and Conditions. 


Please read them carefully, as they outline the scope of Timeless Travels with Sandy, LLC’s services, in the relationship between Timeless Travels with Sandy, LLC, and you, as the client, and important limitations of liability.


2. Role of Travel Advisor


  • Timeless Travels with Sandy, LLC acts solely as an independent travel advisor affiliated with New Horizons Travel.
  • Timeless Travels with Sandy, LLC’s role is to assist you, as the client, in researching, planning, and booking travel arrangements through third-party suppliers (such as airlines, hotels, cruise lines, and tour operators).
  • Timeless Travels with Sandy, LLC does not own, operate, or control the services provided by these third parties.


Nothing in these Terms & Conditions shall be construed to create a partnership, joint venture, agency relationship, or employment relationship between Timeless Travels with Sandy, LLC and any travel supplier or third-party provider.


3. Planning Fees & Professional Services


  • Timeless Travels with Sandy, LLC reserves the right to charge a non-refundable planning fee for complex itineraries, group trips, custom research, or travel-planning services that require extensive time and expertise.
  • If applicable, the fee amount will be disclosed in writing before services are rendered.
  • Planning fees become earned immediately upon commencement of research, consultation, itinerary design, or booking services, and are nonrefundable once work has begun.
  • These fees compensate for professional expertise, time, supplier coordination, and resources invested in your travel planning, regardless of whether you, as the client, ultimately choose to book the trip.


3A. Airline Travel Arrangement Professional Service Fees


Timeless Travels with Sandy, LLC (“TTWS”) charges professional service fees to cover time, research, and expertise in securing air travel arrangements. These fees are separate from and in addition to Supplier costs and are nonrefundable once services are rendered.

  • Domestic Air Ticketing: $35 per person
  • International Air Ticketing: $55 per person
  • Complex or Multi-City Air Itineraries: $100 per person


These fees apply whether the flight is ticketed directly by TTWS, through a consolidator, or via an airline’s travel advisor portal. Clients authorizing TTWS to research or book airfare acknowledge and agree to these charges.


All fees are due at the time of booking and will be charged to the client’s authorized payment method on file.


4. Booking and Payments


  • All bookings are subject to availability and the terms & conditions of the third-party suppliers.
  • Prices, schedules, services, and policies are subject to change at any time without notice.
  • As the client, you are responsible for providing accurate personal identification and payment information.
  • Payment terms (deposits, balances, deadlines) are set by the suppliers. Failure to pay on time may result in cancellation without refund. 


4A — Chargebacks & Payment Disputes


  • By authorizing payment for travel services, you, as the client, acknowledge and agree that all charges are valid, authorized, and subject to the Terms & Conditions of Timeless Travels with Sandy, LLC and the applicable travel suppliers.
  • Clients agree not to initiate chargebacks or payment disputes for legitimate authorized charges related to:
  • Travel bookings
  • Planning services
  • Consultation fees
  • Cancellation penalties
  • Supplier-imposed fees
  • Non-refundable deposits
  • Professional service fees
  • In the event of a chargeback or payment dispute, Timeless Travels with Sandy, LLC reserves the right to provide signed agreements, invoices, payment authorizations, supplier terms and conditions, communication records, booking confirmations, and proof of services rendered to the financial institution or dispute processor.
  • Clients remain financially responsible for all valid travel charges, collection costs, arbitration expenses, legal fees, and damages resulting from improper, fraudulent, or invalid chargebacks.


5. Cancellations, Changes, and Refunds


  • All cancellation, change, and refund policies are determined solely by the applicable supplier(s) and not by Timeless Travels with Sandy, LLC.
  • Timeless Travels with Sandy, LLC cannot guarantee refunds, future travel credits, supplier exceptions, or compensation from third-party travel suppliers.
  • Timeless Travels with Sandy, LLC will assist in communicating with suppliers, when possible, but Timeless Travels with Sandy, LLC is not responsible for supplier penalties, fees, denied refunds, or nonrefundable amounts.
  • Timeless Travels with Sandy, LLC strongly recommends purchasing comprehensive travel insurance to help protect your investment.

 

6. Client Responsibilities


You, as the client, agree to:

  • Review all booking confirmations and itineraries for accuracy.
  • Provide valid travel documents (passports, visas, health certificates, etc.) required by your destinations.
  • Comply with the entry, vaccination, and health requirements of each country.
  • Assume responsibility for personal safety, travel advisories, and local laws.


Clients are solely responsible for verifying and obtaining all required travel documentation, including passports, visas, REAL ID compliance, vaccination records, entry permits, and any other documentation required by domestic or international authorities. 


Timeless Travels with Sandy, LLC is not responsible for denied boarding, denied entry, missed travel, or losses resulting from incomplete, invalid, or expired documentation.


7. Travel Insurance


Timeless Travels with Sandy, LLC strongly recommends travel insurance to cover unforeseen circumstances such as trip interruption, cancellation, medical expenses, baggage loss, or delays.


As an affiliate of New Horizons Travel, Timeless Travels with Sandy, LLC partners with Travel Guard to provide clients with trusted, comprehensive coverage options. Travel insurance is optional but highly encouraged, as Timeless Travels with Sandy, LLC, and New Horizons Travel are not responsible for losses or expenses caused by events outside of our control.


8. Liability Disclaimer


  • Timeless Travels with Sandy, LLC, and New Horizons Travel are not responsible for the acts or omissions of third-party suppliers.
  • Timeless Travels with Sandy, LLC is not liable for personal injury, illness, property damage, delays, cancellations, or other losses caused by natural disasters, pandemics, accidents, strikes, government actions, or other events beyond Timeless Travels with Sandy, LLC’s or New Horizons Travel’s control.
  • Any claims regarding dissatisfaction with travel services must be directed to the applicable supplier.


8A — Force Majeure


  • Timeless Travels with Sandy, LLC and New Horizons Travel shall not be liable for any failure or delay in performance resulting from circumstances beyond reasonable control, including but not limited to:
  • Acts of God
  • Natural disasters
  • Severe weather
  • Floods
  • Fires
  • Pandemics or public health emergencies
  • Government actions or restrictions
  • War or terrorism
  • Civil unrest
  • Labor strikes
  • Transportation disruptions
  • Supplier bankruptcy or insolvency
  • Mechanical failures
  • Acts or omissions of third parties
  • Under such circumstances, refunds, credits, and compensation shall be subject solely to the policies and decisions of the applicable travel supplier.


Neither Timeless Travels with Sandy, LLC, nor New Horizons Travel is responsible for the financial default, bankruptcy, insolvency, or operational failure of any travel supplier, airline, cruise line, hotel, tour operator, or other travel provider.


Neither Timeless Travels with Sandy, LLC, nor New Horizons Travel makes any warranties or guarantees regarding the quality, safety, suitability, or availability of travel services provided by third-party suppliers.


9. Limitation of Responsibility


By booking travel through Timeless Travels with Sandy, LLC, you, as the client, acknowledge that:

  • Travel involves risks, including those related to transportation, accommodation, and activities.
  • You, as the client, release Timeless Travels with Sandy, LLC, and New Horizons Travel from liability for claims, damages, or losses arising from your travel arrangements, except where prohibited by law.

 

By participating in travel and related activities, you, as the client, voluntarily assume all risks associated with travel, whether known or unknown, foreseeable or unforeseeable.


10. Privacy & Communication


  • Timeless Travels with Sandy, LLC respects your privacy and will only use your personal information for travel planning, booking services, and related communications.
  • By working with Timeless Travels with Sandy, LLC, you, as the client, consent to receiving communications related to your bookings, itineraries, invoices, travel updates, and occasional promotional or informational travel content unless you, as the client, opt out.
  • Electronic signatures, emailed approvals, online form submissions, payment authorizations, and digital acceptance of invoices or itineraries shall constitute acceptance of these Terms & Conditions and shall be considered legally binding.

 

You, as the client, acknowledge that communication may occur through email, text messaging, mobile applications, or other electronic methods and understand that such communications may not always be secure or instantaneous.


11. Governing Law & Dispute Resolution


These Terms and Conditions shall be governed by the laws of the State of Texas, without regard to conflict of law principles.


Any dispute, claim, or controversy arising out of or relating to these Terms and Conditions, or the services provided by Timeless Travels with Sandy, LLC, shall be resolved exclusively through binding arbitration conducted in the State of Texas, in accordance with the rules of the American Arbitration Association (AAA).


By booking travel services through Timeless Travels with Sandy, LLC, you, as the client, agree to waive the right to bring or participate in any class action lawsuit or jury trial.


12. Severability


If any provision of these Terms & Conditions is found to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.


13. Acceptance of Terms


By requesting quotes, submitting payment information, authorizing bookings, electronically signing documents, or purchasing travel services through Timeless Travels with Sandy, LLC, you, as the client, acknowledge that you have read, understood, and agreed to these Terms & Conditions.
